Operations Associate
Operations Team · Fully remote · Full-time Apply nowWe're building the largest physician-focused tax company in the country, and operations is what keeps it running. This is a full-time seat on the team that builds and runs the systems between our clients, our tax team, our vendors, and our software. Read the whole post before applying.
The reality
Operations here is not admin. You'll own real pieces of how the firm runs: entities that have to be formed correctly and on time, handoffs between the tax team and our software, vendor orders, client payments, and the daily work that keeps every board accurate.
Much of it gets automated, and you'll help build those automations. What's left is the work that needs judgment: the exception, the stuck order, the client record that doesn't match. That work has to be done right the first time.
What you'll do
- Entity setup and maintenance. Place orders with vendors, track them, and make sure documents land where they belong.
- Handoffs between the tax team and our software. When something changes for a client, it lands everywhere it needs to, correctly.
- Client payments and billing follow-up. Accurate, timely, and handled professionally.
- Monday boards. Keep statuses, owners, and dates accurate so the firm can trust them.
- Build and improve automations for the daily admin work, and redesign them when they stop fitting.
- Clear, professional communication with clients and vendors.
Who this is for
Someone who thinks in systems, notices when two things don't match, and fixes the cause instead of the symptom. You write clearly, follow up without being asked, and don't go quiet when something is stuck.
You're comfortable with detailed, repetitive work when the repetition is what makes the output correct, and you get energy from making it faster.
The path
Perform and you take on more of the system: bigger pieces to own, more automation to design, and a path toward leading the function. Earned, not given.
